The modern workplace is changing rapidly. Artificial intelligence, cloud computing, voice technologies, automation and increasingly sophisticated digital platforms are transforming how people work and how organisations access talent.
Yet for many persons with disabilities, technology has always represented something more fundamental than productivity or convenience. It has represented access.
For a person who is blind or visually impaired, the right Assistive Technology can be the difference between being dependent and being independent, between being excluded and participating fully, and between being perceived as unable to perform a task and being able to demonstrate professional competence on an equal footing with colleagues.
As we consider the future of work, therefore, assistive technology should not be regarded simply as a specialist intervention that is added when an employee with a disability enters the organisation. It should form part of a broader organisational commitment to accessibility, inclusion and equitable participation.
The question is no longer simply, “What technology can we provide to accommodate this employee?”
The more progressive question is:
“How do we design workplaces in which people with different abilities can participate, contribute and succeed from the outset?”
Technology does not have to make a person with a disability “special”. Rather, the right technology can remove an environmental barrier that should never have prevented participation in the first place.
There is an enormous amount that professionals, developers, IT specialists, procurement teams and disability practitioners can understand about assistive technology. But there are aspects of the user experience that can only truly be understood by the person who depends on the technology to work, day after day, to earn a living and participate independently.
This is why the voice of the end user must be central to decisions about assistive technology.
One of the most important distinctions organisations need to understand is the difference between retrofitting accessibility and building accessibility into the workplace from the beginning.
When accessibility is considered only after a problem arises, the employee with a disability can immediately find themselves at a disadvantage.
Imagine arriving at a new job and discovering that your computer has not been configured to work with your screen reader. The organisation’s HR systems may be inaccessible. Internal applications may not support keyboard navigation. Documents may not be accessible. Training materials may not be available in an appropriate format.
The employee may then be required to wait while the organisation investigates the problem, identifies a supplier, obtains approval, procures equipment and attempts to implement a solution.
During that period, the employee may be physically present but functionally excluded.
That is not an ideal beginning to an employment relationship.
By contrast, when an organisation anticipates accessibility requirements and has processes in place to respond to them, the message to the employee is very different:
You were expected. You belong here. We have planned for you to succeed.
This has implications that go well beyond technology.
It influences confidence, trust, morale and an employee’s sense of belonging. It demonstrates that inclusion is not simply something contained in an organisational policy; it is reflected in how the organisation actually operates.
Accessibility by design does not mean predicting every possible accommodation that every employee might ever require. Rather, it means creating systems and processes that are sufficiently flexible to accommodate individual needs efficiently.
This should extend across HR, IT, facilities, procurement, learning and development, information management and organisational culture.
There is a persistent tendency to approach assistive technology from the perspective of the organisation rather than the employee.
A procurement department may ask:
“What product should we buy?”
An IT department may ask:
“What technology is compatible with our environment?”
A manager may ask:
“What does this employee need?”
All of these are legitimate questions, but they are incomplete without one additional voice:
The employee.
The employee understands the nature of their work, the tasks they need to perform, the barriers they encounter and the strategies they have developed to overcome those barriers.
This does not mean that an employee necessarily knows every product available on the market. Nor does it mean that their preferred technology will automatically be appropriate for every organisational environment.
Rather, the employee should be an active participant in the assessment and decision-making process.
The starting point should be the functional requirements of the job.
What are the essential duties?
Which applications and systems are used?
What information must the employee access?
How does the employee communicate with colleagues and customers?
What physical or digital environments do they need to navigate?
What level of independence is required?
Once those questions have been answered, the organisation can determine what combination of Assistive Technology, accessibility modifications, software configuration, training and support will produce the desired outcome.
The objective should never simply be to “provide equipment”.
The objective is to enable the employee to perform the essential functions of their role effectively, independently and with dignity.
One of the most common misconceptions about assistive technology is that the primary risk is financial.
In reality, the greater risk is often functional failure.
An organisation can spend a substantial amount of money procuring an assistive technology product and still fail to accommodate the employee if the technology is inappropriate, poorly configured, incompatible with enterprise systems or unsupported by adequate training.
Technology that sits unused in a cupboard is not an accommodation.
Technology that technically works but prevents the employee from performing essential functions efficiently is not a successful accommodation.
And technology selected without consulting the employee can sometimes make the situation worse.
The employee may find themselves having to work around technology that was supposed to remove barriers. They may have to explain repeatedly why the solution is not working. They may become dependent on colleagues for tasks they were previously capable of performing independently.
The consequences can extend into employee morale and organisational relationships.
For people with disabilities, this can also reinforce longstanding experiences of exclusion and discrimination in education, employment and society more broadly.
This is why Assistive Technology procurement should not be treated as a conventional purchasing exercise.
The question should not simply be:
“What can we buy?”
It should be:
“What outcome are we trying to achieve, and what combination of technology, accessibility, training and support will achieve it?”
Another important shift in thinking is recognising that assistive technology is not necessarily a single product.
An effective workplace solution may involve several components.
It could include a screen reader, Braille display, accessible software, a suitably configured workstation, accessible cloud applications, a smartphone, specialist peripherals, AI-powered tools and appropriate training.
In some cases, the solution may also require changes to the organisation’s mainstream technology.
This is particularly important because assistive technology does not operate in isolation.
A screen reader may be highly accessible, but if the organisation’s internal application is poorly designed, the employee may still encounter significant barriers.
An employee may have an excellent Braille display, but if the documents they receive are inaccessible, the technology cannot compensate for the underlying problem.
Assistive Technology therefore needs to be considered within the broader accessibility ecosystem.
This is where employers, IT teams, software developers, accessibility specialists, assistive technology providers and employees need to work together.
The rapid development of artificial intelligence is creating an exciting new chapter in assistive technology.
For people who are blind or partially sighted , AI-powered tools can increasingly assist with tasks such as interpreting information, recognising objects and environments, extracting text and providing contextual information.
Wearable AI technology is particularly interesting because it begins to move assistive technology away from the traditional computer interface and into the user’s everyday environment.
This has potentially profound implications for workplace participation.
A wearable device that can provide contextual information about an environment, assist with accessing printed or visual information, or support communication could reduce barriers that have historically required assistance from another person.
There is also an important social dimension.
Independence is not simply about completing a task without assistance. It is also about being able to participate naturally in the workplace.
Technology that enables a person to access information, interact with their environment and engage with colleagues more independently can contribute to confidence and social inclusion as well as productivity.
However, enthusiasm for AI should not lead us to overlook the technologies that have formed the foundation of digital accessibility for decades.
Screen readers, Braille displays, magnification technologies and other established assistive technologies remain essential.
The future is not necessarily about replacing these technologies with AI.
It is about bringing AI into an increasingly integrated assistive technology ecosystem.
The most useful technologies will be those that are reliable, intuitive, interoperable, portable and genuinely responsive to the user’s needs.
There is an important philosophical distinction between compliance and inclusion.
Compliance asks whether an organisation has fulfilled a requirement.
Inclusion asks whether a person can actually participate.
Those are not always the same thing.
An organisation may have a disability policy, an accommodation procedure and a procurement budget, yet still have an employee who cannot access the systems required to perform their job.
True inclusion requires us to look at the experience of the person within the organisation.
Can they access information?
Can they communicate effectively?
Can they use the organisation’s digital systems?
Can they participate in meetings and training?
Can they perform their work independently?
Can they develop professionally?
Can they interact with colleagues on an equitable basis?
These are ultimately the measures that matter.
There is also a compelling business argument for taking assistive technology seriously.
Reasonable accommodation is frequently framed as a cost associated with employing people with disabilities.
That framing is unnecessarily narrow.
An accessible workplace allows organisations to recruit from a wider talent pool. It enables employees to use their skills more effectively. It can improve retention and employee satisfaction and can contribute to a culture in which difference is understood as part of the workforce rather than a problem to be managed.
In other words, accessibility can create value.
The investment is not simply in a device or software licence.
It is an investment in human capability.
When the right technology removes an unnecessary barrier, the organisation gains access to the skills, experience, knowledge and potential of the person behind that technology.
That is why we need to change the way we talk about assistive technology in the workplace.
It is not merely a benefit provided to an employee with a disability.
It is an enabling infrastructure that allows organisations to unlock talent that would have otherwise been excluded.
The workplace of the future should not be one in which employees with disabilities continually have to ask for exceptions.
It should be one in which accessibility is embedded into organisational thinking.
That means involving people with disabilities in decisions that affect them.
It means considering accessibility during procurement rather than after procurement.
It means ensuring that mainstream digital systems are accessible.
It means providing appropriate assistive technology without unnecessary delay.
It means recognising that technology alone is insufficient without training, implementation and ongoing support.
And, perhaps most importantly, it means recognising that people with disabilities should not simply be passive recipients of accommodation.
They should be partners in designing the solutions that enable them to succeed.
Assistive Technology works best when it is designed around the person rather than the disability.
The technology should enable the individual to bring their skills, expertise and potential to the workplace without unnecessary barriers.
As AI, wearable technology and accessible digital platforms continue to evolve, we have an opportunity to move beyond the traditional concept of “accommodating” disability.
We can instead create workplaces where accessibility is anticipated, participation is expected and technology is used to unlock human potential.
That is a future worth designing for.
Assistive Technology is not simply about making work possible for people with disabilities. It is about making it possible for organisations to benefit fully from the talent of the people they employ.
